Enterprise AI: RAG, source evidence and access boundaries
Design document-based AI assistants with retrieval, access control, source references, evaluation and human approval working together.

Finding a document is not the same as answering correctly
Retrieval-augmented generation brings relevant information into the response process. In business use, the aim is not merely fluent text: users should understand which approved information supports the answer. An outdated procedure, missing document or incorrect permission mapping can undermine an otherwise capable model.
Do not enforce access only at the chat screen
Permission to open the assistant does not grant access to every document. Retrieval must respect document access, roles and department boundaries. Response caches and search logs need equivalent controls. Retrieving a forbidden document and hiding it later is not a sufficient security design. Test permissions with realistic identities rather than only an administrator account.
Make sources and freshness visible
Show the document name, version and relevant passage where appropriate. An assistant that admits it cannot find evidence is more useful than one that guesses. Define how quickly deleted or restricted documents disappear from the index. Connect user feedback to a documented correction process so repeated errors become actionable.
Keep control over actions
A document assistant and an agent creating ERP records have different risks. A proposed action should expose the target record, intended change and reason. High-impact actions need approval, limited permissions and an auditable history. Instructions inside retrieved documents must not acquire system-level authority. NIST’s generative AI profile provides a framework for managing risks through the lifecycle.
Measure the pilot deliberately
Build a small evaluation set from real user needs. Assess retrieval relevance, consistency with sources, unauthorised disclosure and refusal behaviour separately. Avoid putting confidential examples into uncontrolled test tools. Nexus Core Studio starts AI integration with a source inventory, access model and testable use cases rather than connecting every data source at once.

Frequently asked questions
Does RAG eliminate incorrect answers?
No. Retrieval, source quality and generation can each fail. Source verification and evaluation remain necessary.
Should the assistant receive every company document?
No. A limited, current collection with defined permissions is a more manageable starting point for a pilot.
